Who We Are

Cal Digital Group is a digital technology company based in Kolkata, West Bengal, India. We build and operate WhatsApp-based customer engagement bots for small and medium businesses including medical clinics, diagnostic centers, and service businesses.

We operate as a registered Tech Provider on the Meta WhatsApp Business Platform, providing automated messaging solutions to our clients on their behalf.

Data We Collect

How We Use Data

We use the data we collect for the following purposes:

  • To route incoming WhatsApp messages to the correct client business bot
  • To generate automated responses to customer enquiries using our AI system
  • To process and confirm appointment bookings on behalf of our clients
  • To send appointment reminder messages to patients where applicable
  • To maintain conversation context during an active chat session
  • To notify client business staff of customer requests requiring human attention
  • To improve and maintain the performance of our bot system
  • To comply with legal obligations and Meta's platform policies

We do not use personal data for advertising, profiling, or any purpose beyond operating and improving the bot service described above.

WhatsApp Platform Data

Our services operate on the Meta WhatsApp Business Platform. When end users interact with our clients' WhatsApp bots, their messages and phone numbers are received by us via Meta's Cloud API.

We use WhatsApp Platform Data solely to provide the messaging service described in this policy. We do not sell, rent, license, or share this data with any third party for their own purposes.

By interacting with a WhatsApp bot powered by Cal Digital Group, end users acknowledge that their messages are processed by our systems on behalf of the business they are contacting. Users should also review Meta's Privacy Policy at whatsapp.com/legal/privacy-policy.

Each client business's customer data is kept separate and is only used to operate that specific client's bot. We do not combine or cross-reference data between different client businesses.

Data Sharing

We do not sell or share personal data with third parties for their own purposes. Data may be shared only in the following limited circumstances:

Data Retention

We retain different types of data for different periods based on operational necessity:

  • Active conversation context: Up to 30 days to support follow-up interactions
  • Appointment records: Up to 12 months to support reminders and follow-up care
  • Message logs: Up to 90 days for quality assurance and debugging
  • Business client data: For the duration of our service agreement

After these periods, data is permanently deleted from our systems. You may request earlier deletion by contacting us (see Section 12).

Security

We implement the following security measures to protect personal data:

  • All data is transmitted over HTTPS/TLS encrypted connections
  • Servers are hosted on secured cloud infrastructure with restricted access
  • Access to production systems is limited to authorised personnel only
  • API keys and access tokens are stored securely and rotated regularly
  • Each client's data is logically separated from other clients' data

Our WhatsApp bot service does not use cookies. Cookie data from our website is not linked to WhatsApp conversation data. You can control cookies through your browser settings.

Our services are not directed at children under the age of 13. We do not knowingly collect personal data from children under 13. If you believe we have inadvertently collected data from a child, please contact us immediately and we will delete it promptly.

For medical appointment bookings involving minors, a parent or guardian must initiate and oversee the interaction.

Continued use of our services after changes are posted constitutes acceptance of the updated policy.
